Add it to your CRM

Start on our page rather than hunting for the app, and pick the account you want to work from.

Open the add page then pick an account and say yes to the permissions

It asks to read your contacts, deals, custom fields and users, and to write to your contacts, deals and custom fields. Writing is what lets scores land on a contact later. Nothing gets written until you ask for it.

Put it on your own account, not a client's

This is for winning you work, and the list it builds is yours. Step three is where you choose the one account it works from, and that choice is also what stops a client account seeing your list.

Open it from the menu

Once it is added, it turns up in the menu down the left hand side.

It runs as a page inside your CRM, so there is no second login and no extra password. If it says it cannot tell who you are, you have opened it outside the CRM. Go back and open it from the menu rather than from a bookmark.

Give it a minute and reload the account. If it is still not there, it went on to a different account from the one you are looking at. Do step one again and read the account name on the permissions screen before you say yes.

  • Tick everything you sell, not just the main thing. Each one you tick pushes the problems you can do something about up the list. Tick one when you do three and the app hides two thirds of your best talking points.
  • Rank prospects by is the single thing the list gets sorted on. A business that is fine at AI but poor at turning visits into calls is a weak lead if you sell the first and a cracking one if you sell the second.
  • Who you sell to and where shape the questions the AI check asks later. Woolly answers here give you woolly questions there.

Not when you first open the app. Finish the form and one full AI check, all 160 searches, is sat waiting on your account.

You can change any of it later in Settings. Changing what you sell, or what you rank by, re-scores every business you have already checked, for nothing. The list really does move rather than staying as it was.

Get your businesses in

Two ways, and you will probably use both.

Import prospects then either Import from your CRM or paste a list
  • From your CRM. It reads the contacts in the account you picked and takes the website off each one. Contacts with no website get counted and reported rather than quietly dropped.
  • Pasted. One website a line. Put a name after a comma if you have one, like example.co.uk, Example Ltd. Addresses get tidied up for you.

Start with a list you know

Make your first import a set of businesses you understand rather than your whole database. The order is only as good as your answers in step three, and two hundred contacts you recognise will tell you in ten minutes whether it has got it right.

The real screen, drawn out. These businesses are made up.

  • Very High and High are your week. The bands are 80 and up, 60 to 79, 40 to 59, and under 40. Work down from the top instead of across the lot.
  • Read the line under the name before you ring. That is why they are sat where they are, and it is where your opening line comes from.
  • A row that says it has not been checked has not scored zero. "We do not know yet" and "they are terrible" are different things and the app keeps them apart. Never read a blank as an opportunity.
  • Low is not a mistake. A business already good at what you sell gets marked down on purpose, and so does a parked domain that scores badly on everything because there is nothing there.

Three scores and a count of what is failing. Under them sits Best reasons to contact this prospect.

  • The reasons are sorted by what an owner would care about, not by how serious a developer would call it. A missing tag can be serious and unsayable. "AI cannot read your website" is the one that ends the call.
  • Each reason says why it is costing them money. That is the half most audits leave out, and the half that lands on a phone call.
  • If it looks out of date, re-check that one business. It is free on every plan. Old information is our problem, not yours.

Scores are an argument. This is evidence, and it is what to spend money on when a business is worth the call.

Example numbers. The report also names the businesses that showed up instead.

  • Lead with who turned up instead of them. A named rival, in an answer their own customer would have seen, is the most persuasive thing in this app.
  • It takes a while. Start it and go and do something else. The screen keeps itself up to date and you can walk away.
  • If too much of it fails you get your money back on your own. If most of it worked it tells you how many searches finished, so the number you quote is a real one.
  • Looking at it again costs nothing. Every search is kept, so you can go back to it as often as you like.

Send it to the contact

Scores are worth more on the contact record than in a separate tool, because that is where the rest of your business already runs.

The first time you do this it asks to make thirteen new boxes on your contacts. Boxes you already have with those names get used rather than duplicated, so doing it again never leaves you with two of everything.

  • Three scores plus the opportunity score and level, so you can filter and segment on them like anything else in the CRM.
  • The check totals and a link to it, so anybody on your team can open the evidence straight from the contact.
  • When it was last looked at, so an old score is obvious to whoever reads the record next.
Deals are never created behind your back

You pick the pipeline and the stage. If there is already an open deal for that contact it uses that one instead of making another, because a duplicate quietly ruins your own forecast.

Two things, in this order. One wins you the meeting. The other is what you deliver once you have won it.

The list of what to fix

Everything wrong with that website, how bad it is, how much work it is and how to put it right, in the order it should be done, with the quick wins counted on their own. Three a month on the free plan, 50 on Professional and 1,000 on Enterprise. Once you have unlocked one it stays readable for good, so a limit never takes back something you have already handed over.

Where there is no fix, it says so

Problems with turning visits into enquiries get written down as what we saw, not as instructions, and the number without a fix is printed on the document. You are giving this to a paying client, so a made up instruction would be the worst thing to put in it.

The full report with your name on it

The whole report carrying your brand instead of ours, for the client you have just won. It is $79, minus whatever you paid for that business's check, so a check and a report together come to $79. You need the Professional plan for this, and the sums are shown to you before you buy.

  • Set your brand once, in Settings, and everything you hand over carries it.
  • The raw search results are free with any check. Handy when a client's own team wants to see what we found rather than the report.
  • A free check earns no money off the report, because it did not cost you anything in the first place.

Keep the client

Everything so far wins the work. This is the bit that keeps it, and it is the reason to still have the app in a year.

Watch this website on any business, from its own screen

A watched website gets looked at every week. The list flags a score that has dropped, a band that has changed, and anything that used to work and has started failing.

  • Watch every client you win. Being able to say in month four that what you fixed is still fixed is what a renewal conversation is made of.
  • Watch the good ones who said no. A business that turned you down and has got worse since is a warmer call than anybody new, and you have the before and after.
  • 25 websites on Professional and 150 on Enterprise. After that, extra ones get added to your subscription one at a time.

The AI check is the same price on every plan on purpose. It is the only part of this that costs us real money, and a plan that made it cheaper would be a plan that charged a bigger agency less.

Three habits that pay

  • Redo your setup when what you sell changes. Adding conversion work re-scores everything you have already checked, for nothing. Agencies who never go back to it are sorting a list against a business they used to be.
  • Spend checks on businesses you have already spoken to. A check is $25 and about an hour. On a cold row it is a lottery ticket. The day before a booked call, it is the meeting.
  • Put every client you have on the watch list. The case for keeping you gets made the week it spots something before the client does, and that only happens if it was already watching.

When something looks wrong

A business has no scores at all

We have not been to that website yet. It gets queued and looked at, and it does not come off your allowance, so leave it and come back. If it still says nothing the next day, check the address on the contact: a typo can import as a real looking website that does not exist.

The list is not in the order I expected

Check Rank prospects by in Settings first. The list sorts on how weak a business is at that one thing, so ranking by AI and expecting conversion leads to float up will disappoint you. Ticking everything you sell is the other half of the fix.

The check would not run

The bit that writes the questions can refuse if it cannot write good ones, and that nearly always means the type of business is missing or wrong. Set it on the business and start again. A refusal costs you nothing and no money moves.

It says I have hit a limit

Fix lists, checks and re-checks all reset every month, and the message names the one you have run out of. Anything already unlocked stays available, so a limit never takes back a document you have handed to a client.

I want to stop paying

Cancel it in Usage and billing. It runs to the end of the period you have already paid for rather than stopping dead, and you can change your mind until then. Removing the app cancels it the same way.
